Everything you need to know about our per-user pricing.
How does per-user pricing work?
You pay for each team member on your account. For example, the Business plan at $12/user/month with 5 team members costs $60/month. Annual billing saves 15%. Consultants (accountants, lawyers, advisors) always collaborate free on paid plans — they don't count toward your user total.
What's included in the Free plan?
The Free plan includes 2 team members, 1 business entity, task management with Kanban/List/Calendar views, document vault (500 MB), basic request workflows, client portal with passwordless access, SLA deadline tracking, and CSV import/export. It's a fully functional plan — not a trial.
Do consultants really collaborate for free?
Yes. On all paid plans (Business, Premium, Enterprise), your external consultants — accountants, lawyers, advisors — access your account for free via our consultant portal. They get their own dashboard and don't count toward your paid user count. This is unique to Vulu Vault.
When do I need Premium integrations?
If you use Slack, Microsoft Teams, QuickBooks, Xero, Salesforce, HubSpot, Zapier, or any of our 20 integrations, you'll need the Premium plan. Basic integrations (Email, SMS, WhatsApp) are available on all plans. The Premium plan unlocks the full integration ecosystem.
Can I change plans anytime?
Yes, you can upgrade or downgrade at any time. When upgrading, you'll get immediate access to new features and we'll prorate the charge. When downgrading, the change takes effect at the end of your current billing cycle.
Is there a free trial for paid plans?
Yes — all paid plans include a 14-day free trial with full access to every feature. No credit card required to start. At the end of the trial, choose a plan or your account converts to Free.
Do you offer discounts for annual billing?
Yes — save 15% with annual billing on any paid plan. That brings Business down to ~$10.20/user/month and Premium to ~$20.40/user/month. The discount is applied automatically when you select annual billing.
What happens if I exceed my storage limit?
We'll notify you when you're approaching your limit. On the Free plan, you won't be able to upload new files until you upgrade or free up space. On paid plans, you can purchase additional storage or upgrade to the next tier.
